Do you take advantage of the customer file features SP-1 has?  If not, then you might be missing out on one of the best features of SP-1!


Most people are aware that SP-1 can track your customers and their name, address, phone number but have you explored the other items that are in the customer file and available to you? 


Birthday.  Yep, we track your customers birthday!  Better yet, you can use SP-1 to alert your staff that customer has a birthday coming up!


Email.  Anyone can track an email address – we track ten per customer! 


Multiple phone numbers.  Use a phone number to track past orders for your customers?  SP-1 tracks ten per customer.  If a customer calls with their cell, home, work or any other line, you can link all of them to the same account. 


Multiple addresses.  An address is great for delivery but what if the customer wants it to go to his office or friends house?  What about catering?  With SP-1 you can have up to three additional addresses for catering.


Custom remarks.  A line just for your staff!  What ever you type here is highlighted on the screen for your clerk to see.

Automatic discounts for customers





Here is a neat feature that we have in SP-1.  A lot of our customers offer a discount for seniors, fire, church, police, teachers etc.  One of the benefits of having a POS is to make life easier for your staff and for a more convenient order process for your customers.


If you offer any of these customer specific discounts, you can assign them to the customer profile.  In the example below, David gets the “Fire Dept” discount of 10% whenever he orders.  




If the customer comes in, your clerk can simply swipe the gift card and the discount is automatically added to the ticket.   If it’s a phone order, then simply enter the phone number and the discount will be added to the ticket.

Curious about gift card usage?





We all know that gift cards are a great way of increasing revenue and customer retention.  One of the questions that comes up is how to track what happened with a gift card.   Usually this comes up because a customer thinks they should have more money on their card than they actually do. 


SelbySoft has a great report that will show you a complete history of the gift card when you are using our free internal gift card system. 


In Reports | Customer | Internal Gift Card System you will find an option that provides a couple different types of information.


For example, to see all the transaction history for a specific card, you would simply select the Individual button and then enter the gift card number and dates to see.    The example below shows what type of information is being displayed – notice that all voids, loads, sales etc are shown along with the date and the employee that performed the transaction!


This is a great way to check if someone has used a card incorrectly and to help verify transactions. 







Another report that can be run here is the list of outstanding cards.  With this report you will see a total list of all gift cards that have not had any use since a certain date.  This is a great liability report!

Faster Name Search

One of the core differences between our delivery and non-delivery clients is how they track their customers. Most delivery clients track customers by their phone numbers.  This is great but a little bit  inconvenient for customers that don’t do delivery.
Here at SelbySoft, we always advocate that using a gift card and having that assigned to a customer profile is the best way to track customers and speed up the transaction.  Customer walks or drives up, swipe the card, duplicate the order and done.  
But what if you want to pull them up by name?  SelbySoft has always had the ability to look up customers by name but we have recently revamped this to make it easier.
In System Setup | Operations:5 we have two new switches that change the operation of the customer file.  If you wish, you can now default the customer file to start in the name field instead of the phone number.  Additionally, if the name has an exact match, a ticket will automatically be generated.  This eliminates the need to press start ticket etc.
If the name has an exact match, it’s even easier.  The ticket is automatically started right after pressing enter!

Do you ever bill customers for product? If so, did you know that SP-1 has an extensive billing system built into the software. Last week I was talking to a customer that did not know we did this! So. . . .

In SP-1 you can specify per customer if they are allowed to run an account tab. Once this is selected, you will have an account payment button and an account charge button appear.

If you are near a number of businesses, schools etc – this can be a great method of picking up more business. Setup the account so that when that business orders, you can just bill them!

Once someone orders and you are on the ticket complete screen, simply hit account button to
add the total to their account bill. SP-1 will track this for you. One suggestion: In the remarks, enter the ticket number / name of the person running the account. This makes it easier to answer the account billing questions.

Now the business owes you money. The next step in this is the run the billing report and billing cycle. In the reports, you will see all the options for this. SP-1 will even run a bill that can be printed and then folded and put in a windowed envelope. This makes life easier as far as sending the bills.

Once the check comes in, look up the customer and select the account payment button. Apply the payment and you are done!

Hopefully this brief introduction to accounts helps you understand how to use this to capture some of more of your customers business. While these factories and schools like to place big orders, we also know that the accountant and bookkeepers at these places like easy billing systems!

What are On-Hold tickets?

This question and a couple others was something asked by Rick & Judy from Mountain Mudd.

Tickets can be placed on-hold for a number of reasons. . . The first is that the payment is not being made until later and the second is that the ticket has a credit card assigned to it and the tip has not been processed.

An on-hold might be:
Someone called an order in and it will be paid for when they get there.
They are running a tab in the store.
They don’t have enough money or need to go grab their wallet / purse.
The order is in a drive thru and you need to take the next car in line.
and so on. . .

As you can see, this is a powerful feature. SP-1 allows you to pull these on-hold tickets back off and close them out at anytime. On-hold tickets are designed to be closed by the end of the day.

With credit cards (assuming you are processing through the POS and not a separate machine), the credit card is processed immedietly and then put on hold until the tip is added and processed (assuming you are processing tips!). If you don’t put a tip the credit card was still sent to the processor.

If you leave tickets on-hold, you will notice that the Business Summary at the end of the night will show you in two places that it is on-hold. First at the top of the printed or viewed page and then on red at the bottom of the Business Summary screen. The on-hold ticket is included in the totals on the Business Summary as we have to assume that you closed the ticket out and did not record the total.

Hopefully that clears up some things about On-Hold tickets!
